Who it's for

Four kinds of institution, one platform

The same student record underneath. The words, the result layout and the demo change with the kind of institution you run.

  • Degree colleges

Programmes, semesters and credits. Internal and end-semester marks, SGPA and CGPA, grade cards and gazettes.

  • Junior colleges

PU and +2 sections, with results shown as a percentage and a class. Parents are kept informed by default.

  • Polytechnics

Theory, term work, practical and oral marks (TH, TW, PR, OR) in a result layout made for them.

  • Coaching institutes

Batches, fees and test series, with a test-series report that handles negative marking.

What it does

Eight things a college runs on

Pick one to see what it does, who it is for and a real screen.

The college year

From the first semester to the last transcript

Six steps, in the order a college lives them. Each one uses the same students and courses, so nothing is typed twice.

  1. Set up the college

Departments, programmes, batches and semesters, laid out once.

    • A course catalogue with credits and elective groups
    • Course offerings with sections and teachers
    • Registration for electives, with seat limits kept for you
    • Move a batch to the next semester in one step
  2. Build the timetable

Timetables that understand electives, labs and parallel options.

    • Teacher availability and weekly sessions for every course
    • Students of different sections never clash
    • Labs placed as multi-period blocks
    • Option baskets that run at the same time
    • One timetable per programme and semester, copied forward
    • Students see their own timetable on a phone
  3. Take attendance

Course by course and session by session, taken from the timetable.

    • One attendance percentage, the same on every screen
    • A shortage report you can download as CSV
    • Condonation decided by the head of department
    • Students file leave, medical and on-duty requests
    • Warnings go out before a student falls short
    • Close a term: percentages stay, day-by-day records are exported and then freed
  4. Hold exams, publish results

From the assessment pattern to the grade card.

    • Internal and end-semester components, with best-of-N
    • Exam entries with eligibility worked out from attendance
    • Hall tickets, seating by room capacity, and a date sheet that avoids student clashes
    • Marks entered by the course teacher, with moderation shown beside the raw mark
    • SGPA and CGPA in exact whole-number arithmetic, frozen when published
    • Grade cards and gazettes as PDFs, plus supplementary exams, revaluation and transcripts
  5. Collect fees

Fees that know the programme, the year and the category.

    • Fee structures by programme, year of study, category and quota
    • Assign fees to a whole programme, a page at a time
    • Scholarship schemes and government fee claims
    • Refundable caution deposits, kept apart from income
    • Receipts that print programme, semester, enrolment number and payer
    • Students see their own fees
  6. Issue documents

Certificates and cards, numbered and on record.

    • Bonafide, character and transfer certificates
    • A transfer certificate that marks the student as a graduate or a leaver
    • Numbering by programme or by department
    • ID cards valid for a set number of months, or until the programme ends
    • No-dues clearance signed off department by department
People and access

The right person sees the right screen

  • Staff roles that match your office

Head of department, exam cell, accounts and registrar each see and do their own part. Faculty can send announcements to the courses and classes they teach.

  • Students sign in themselves

Each student has a login for their own timetable, fees and leave requests, with a code sent to their email.

  • Parents, when you choose

Guardians hear from the college only if you switch that on. It is on by default for junior colleges. A student under 18 is recognised from the date of birth.

Your words, your documents

A college says college

Menus, receipts, ID cards, hall tickets, certificates and emails use the words your institution uses. A junior college says Lecturer. Each kind of institution has its own set.

Getting started

From your registers to a working college

Three steps. We do the heavy lifting of the first one.

  1. 1

    Bring your records

Bring your records in from spreadsheets, inside the app: download a template, upload your CSV or JSON file, match the columns and run a check that lists every problem row before anything is saved. Or send us photographs of your paper registers and we load them for you.

  2. 2

    Look at a ready demo

We keep a demo for each kind of institution, with students, a timetable and marks already in it. See your own kind of college working before you decide.

  3. 3

    Switch on what you need

Start with attendance and fees, or with the timetable, or with all of it. Each part uses the same student record, so nothing is typed twice.

Questions

Things colleges ask us first

Still wondering about something? Message us on WhatsApp or give us a call.

Which institutions is this for?

Degree colleges, junior colleges (PU and +2), polytechnics and coaching institutes. A school has its own page. Each type gets its own words, its own result layout and its own demo.

Will it follow our university’s or board’s rules?

You set the grade bands, the credits and the assessment pattern, so they can match your university or board. Smartable is built for credit-based semesters, but it carries no approval from any university or board. Check your own scheme against a demo before you decide.

Our records are in registers and Excel. How do we start?

Bring your records in from spreadsheets, inside the app. The import screen covers departments, programmes, batches, electives, courses, assessment patterns, course offerings, registrations, students and staff: download a template, upload a CSV or JSON file, match the columns and run a check that shows every problem row before anything is saved. It adds new records and does not update existing ones. If your records are on paper, send us photographs of your registers and we load them for you.

Do students and parents need an app?

No download is needed. Smartable works in the browser on any phone or computer, and it can be installed to the home screen like an app. Students sign in with a one-time code sent to their email. Parents are reached only if the college switches that on.

Can it handle electives and labs in the timetable?

Yes. Students of different sections never clash, labs are placed as multi-period blocks, and option baskets run at the same time. A large college is timetabled in stages, a few sections at a time.

How does attendance affect exams?

Attendance is counted course by course, with one percentage used everywhere. The exam entry shows who is eligible from that percentage. The head of department can condone a shortage, and the decision is recorded.

What is not there yet?

Two things. There is no online payment gateway, and no SMS or WhatsApp messaging.

How much does Smartable cost?

Smartable is licensed per institution. We do not publish a price list. Contact us for access or a licence quote.
